Setup:
Each library needs their account added to the Gate Count dataset in LibInsights before they can add gate counts. To add a library you need to know:
- Bi or Uni directional, or if you are entering the number of people per day
- Roll over number
First Entry:
The first entry in the gate count for each library needs both the starting and ending gate count for that day.
Daily Entry:
Every day, just enter the ending gate count. Either tab out of the field or click on the background to deselect the field. It will calculate the number of people per day for you. Make sure it makes sense before you click on submit. If it is wrong, just correct the Gate End number and let the software recalculate the # of Visitors. When it is all good, click SUBMIT.
You will receive a Thank You message after you submit.
Missed Entry:
If you missed entering the information and you have it to enter, do this before you do the next daily entry. Here's how:
- On the Gate Counts webpage, select the oldest date you want to enter data for, and click on GO.
- Enter the ending gate count for that day and SUBMIT.
- Repeat as needed until you are caught up with your entries. Be sure you are entering the data for the oldest date first and moving forward in time.
Data Import:
If there is data in some other format that can be put into a CSV file, that can be imported rather than daily counts added to the website. That process has been tested but is not at the instruction writing stage at this point. I just wanted to let you know it was possible.
Fixing Mistakes:
A mistake in TODAY'S entry:
- This applies if you are just needing to change something on today's entry AND that daily entry is still up on your screen. That is, you just clicked Submit and got the Thank You message and you realized you made an error.
- Just reenter the Gate End number, click outside the field. It should recalculate the # of Visitors. When it is fixed, click SUBMIT.
- THAT SAID, once you enter and submit a number, you can't fix it to be nothing - that is, you can't enter 0 to reset. You can only enter a valid end number in Gate End.
A mistake in a PREVIOUS entry or any entry that won't let you edit it on the daily entry page:
- This applies if you are doing a past day and the fields on the website won't allow you to enter new data. Here's how you fix that:
- Login to LibInsights Admin (you will need the correct privileges to do this. If you need them, ask)
- Datasets in the top menu bar
- Look for the Gate Count dataset on the list
- On the far right, there will be 3 dots, click on that and choose Record Data
- Pick the Location
- Pick the Date and click on GO
- Change the data as needed and SUBMIT
- NOTE: This screen allows you to hit enter before you see the change in the # of visitors. Please double check that the # of visitors is as expected.
- If you have updated the record, you will see a success message at the top of the screen.
- IMPORTANT: If you change the Gate End date for any day (except yesterday AND you haven't yet entered today's data), it will NOT update the next day's Gate Start. If you want that updated also, you will need to do it following the steps above.
Analyzing Data:
- Login to LibInsights Admin (you will need the correct privileges to do this. If you need them, ask)
- Datasets in the top menu bar
- Look for the Gate Count dataset on the list
- On the far right, there will be 3 dots, click on that and choose Analyze Data
- Select the date range and library (if desired) and click on GO.
NOTE: If the gate count daily entry was skipped for a day (either from the library not being open or no one entering the information for that day), the entire count will be included on the next day that a Gate End data point is added. This may lead to daily or monthly totals being inaccurate, but the overall totals will be correct. This frequently happens over breaks.
