Stuff I know as I work through this, AKA implementation notes

Text a librarian: Use BU's number: 570-266-7928  -- WORK WITH SPRINGSHARE AT CUTOVER TO SWITCH - SMS is currently not active, but we do have it for this account.

  • when you go live you need to:
    • Add in the default form at the bottom of the page
    • In the top of the page, add the text, email address and the chat buttons.
  • These are located here:
    1. LibAnswers Admin
    2. Admin -- FAQ Groups
    3. We only have one, so click on the pencil icon
    4. Pages
    5. By "Home Page" click on the pencil icon
    6. To add the form, ---Add item - Question Form - choose the default
    7. To add text number, chat, email, ---Add item - contact info

NEED TO ask IT to ALLOW (formerly called whitelist) emails from @commonwealthu.libanswers.com

AT CUTOVER - BU needs to deal with email forwarding. Currently they forward reference@bloomu.edu to their libanswers (or so it appears). They need to change that email forwarding in their email account, and add the forwarded email to springshare

BU and LHU at cutover: contact springshare to ask them to forward email from your old account to the CUPA account

BU  and LHU Chat users

  • BU Add users: Michael Coffta, Robert Dunkelberger, Elizabeth Frederick, Stacey Hampe, Joyce Hauck, Linda Lapp, Lori Osborne,  Mary (Joelle) Sanders, Andrea Schwartz,  -- per CD
  • BU: Courtney and Katie already have accounts, but they should be set up as below - particularly the nickname and department. They are admins, so the settings might be different.
  • BU: Charlotte and Marilou will not be doing chat. Add them if there is utility in doing so.
  • LHU - Add users once directors tell us who. Edit any existing users who already have accounts so they have the right settings for chat.
  • MU - Add any staff that SD identifies as monitoring chat
  • Setup (under Admin - Accounts)
    • Nickname should be: FirstName - Bloomsburg Library  (for example)
    • User level - regular
    • Use generic profile image - users can change this later if they wish
    • Default view - default
    • Activate libchat - active
    • Select department - Reference Assistant
    • Queue access - Regular
    • Group access - editor

I did not copy over BU's banned IP list. Feel free to do this if you want.

Screen sharing -- Zoom integration

This is not active in our instance. Contact springshare support to activate. Copy info from BU setup to make that work

CANNED MESSAGES

  • BU's canned messages were copied. Anything with BU specific links/info have BU added to the name.
  • COURTNEY: Probably want to review "Research Appointment" and "Librarian on Duty" answers for appropriate link

Chat widgets

  • Side pull widget --- Put this in libguides -- Admin -- Look and feel - put the code below in the header HTML. If that isn't the right place for you, contact springshare support

  • CHAT HAS NOT BEEN TESTED LIVE! Implement, test, and tweak as needed.
  • Email any vendor that has a chat widget and tell them to replace the code (EBSCO, others). They probably want the side pull code from above.

Existing site cleanup

You need to remove the existing BU and LHU libanswers once on the new system. Ideas:

  • Change the old libanswers pages to only have phone number and a link to the new libanswers site. Do this for all FAQ groups
  • Check websites for links, email address, etc and update
  • Ask Sprinshare if they can put in a redirect for the libanswers urls
  • If you want stats or copies of anything, download and save - probably important to save Ref Analytics data at a minimum

MU:

  • website link check and email check
  • Webform for ask a librarian needs redirect

FUTURE

  • Add and edit FAQs: Springshare will copy ones if we tell them which ones.
  • Add canned messages
  • Create MU button widget to use for 22-23 website
  • Find out if we can anonymize transcripts after specific date
  • Remove retired faculty accounts in Fall 2022 -- or make inactive if they have data in system already (Change user level to Inactive)
